About This Position

This is not a “front desk job.”

The Operations and Patient Care Associate (OPCA) is the person who helps keep the whole clinic container strong—supporting the patient journey and making sure the operational gears are turning.

You’ll be the calm, confident point of coordination between:

• patients
• providers
• scheduling
• systems/SOPs
• and leadership

You will not be giving medical advice or acting as a clinician. You will be setting expectations, keeping patients supported, and ensuring follow-through.

You’ll work closely with the clinic owner/lead clinician and the team.

• Communicate in a friendly, grounded, professional way with all kinds of people
• Create clarity for patients (what happens next, what to expect, how to prepare)
• Stay organized in a fast-paced, dynamic environment
• Be warm and hold boundaries (“great question—let’s route that to the provider”)
• Follow SOPs and improve them (you like systems, checklists, and clean workflows)
• Stay focused and on task with minimal oversight
• Practice open, honest, supportive communication — our team is small and tight-knit
• Think critically, anticipate problems, and proactively problem-solve

Role Highlights

Depending on the day, you may be:

• ensuring patients are prepped for visits (intake forms, expectations, logistics)
• supporting scheduling integrity and clinic flow
• acting as patient-facing “glue” without stepping outside scope
• maintaining and updating SOPs (Notion/Trainual-style)
• coordinating operational tasks + follow-ups so nothing gets dropped

Bonus Points If…

• You have a background in health coaching and understand behavior change with strong boundaries
• You’ve worked in a wellness/medical setting
• You love making things more efficient and hate chaos

The Non-Negotiables

• This is a performance-based role (outcomes matter more than “busy-ness”)
• You must be comfortable working independently
• You must be willing to work in-office with the following schedule: Mondays 8:30-3, Tuesdays 11-5, Wednesdays 8:30-5, Fridays 8:30-12:30
