Job Description

The Roberts Williams Team is an ambitious group of real estate sales professionals focused on The Villages community and surrounding areas. Led by Matt Roberts and Guy Williams Jr, we have been the #1 Selling REALTOR® Team in The Villages community since 2020. The team's mission is “to provide service so great, customers can't help but tell everyone they know about us.” To that end, we are looking for like-minded support staff to help streamline our processes and ensure the best possible experience for our customers. We are currently seeking a motivated and detail-oriented Real Estate Transaction Coordinator to join our team and help streamline our transaction processes.   • $43,700-$54,000 salary plus bonus potential

Responsibilities:
  • Supervise all administrative duties for home buyer and seller transactions from contract to close
  • Track transaction activities and submit documentation to the office broker for file Compliance
  • Communicate and follow-up with our sales staff, title/escrow, lenders, appraisers, contractors, and others to ensure a timely closing for each customer
  • Review purchase and sale agreements, and other real estate forms for correct signatures and dates, obtain approval, and send to the appropriate parties
  • Aid real estate agents, customers, lenders, and title companies with paperwork and ensure the completion of all contractual obligations
  • Ensure inspections and appraisals are scheduled
  • Track and report completion of necessary repairs, following up repeatedly to ensure all repairs are completed in a timely manner
  • Deliver weekly updates to customers, lenders, agents, and other pertinent parties during the transaction
  • Inform agents regarding any problems or issues that need to be handled
  • Enter customer information into the CRM and ensure information is up to date, including updating mailing addresses after closing
  • Maintain organized files and elevate the team office organization and logistics
  • Implement special projects from team leaders as needed
  • Ensure unity of brand, messaging, and style across all communication mediums
  • Always have a good attitude and foster customer loyalty through exceptional customer interactions
Qualifications:
  • At least 1-2 years of experience as a transaction coordinator or similar role in real estate
  • Excellent organizational and multitasking skills
  • Exceptional communication skills, both written and verbal
  • Ability to work independently and as part of a team
  • Team player with a positive attitude and strong work ethic
  • Computer proficiency (Experience with spreadsheets and CRM/database organization is a plus)
  • Detail-oriented with a focus on accuracy and timeliness – must be thorough and LOVE checklists!
  • Strong problem-solving skills and a proactive, growth/learner mindset
  • Service-based attitude with the ability to handle strong personalities
  • Must have a CAN and WILL DO attitude. This person will be willing to help out wherever needed to help the team succeed.
  • A real estate license is a plus, but not required
